About the Role:

We are seeking a Medical Office Assistant to provide administrative and clerical support at Niislaa Naay Healing House Society. In this role, you will help ensure smooth operations, accurate record-keeping, and efficient service delivery for community members. The role emphasizes culturally safe, trauma-informed, and client-centered practices, supporting holistic wellness and respecting Indigenous values, traditions, and community protocols.

Key Responsibilities:

• Greet clients and visitors in a welcoming and culturally respectful manner.

• Answer phones, respond to inquiries, and provide guidance on health services and programs.

• Maintain and organize medical and health records, ensuring confidentiality and compliance with legal and professional standards.

• Schedule appointments, coordinate referrals, and assist with travel or transportation logistics as needed.

• Draft, proofread, and finalize correspondence, reports, and other documentation.

• Assist with program logistics, workshops, and community health initiatives.

• Support data entry, reporting, and record-keeping for health programs.

• Collaborate with Elders, Traditional Healers, and community partners to support holistic health approaches.

• Operate office equipment and software efficiently (Word, Excel, PowerPoint, email, EMR).

• Participate in team meetings, professional development, and in-service trainings.

• Perform other duties as assigned, maintaining flexibility to respond to community and program needs.

Education & Training:

• High School diploma or equivalent; Office Administration certificate/diploma is an asset.

• 1–3 years of administrative or office experience, preferably in a health or community services.

• Experience with scheduling, record management, and client support is preferred.

• Familiarity with Indigenous health programs and policies is an asset.

Preferred Experience & Knowledge:

• Knowledge of medical office procedures, client intake, and appointment scheduling.

• Understanding of confidentiality, client privacy, and professional boundaries in health care settings.

• Awareness of Indigenous cultural values, traditions, and community protocols.

• Experience with electronic medical records (EMR) and office software (Word, Excel, email).

• Strong communication, organization, and problem-solving skills.
