About the Role:

We are seeking a Medical Travel Administrator to coordinate and oversee medical travel arrangements for Niislaa Naay community members. This role ensures safe, timely, and cost-effective access to health services while providing administrative support to the Health Department. The position emphasizes culturally safe, client-centered, and trauma-informed practices, respecting Indigenous values, traditions, and holistic wellness.

Key Responsibilities:

• Coordinate medical travel requests, including transportation, accommodations, and escorts for community members accessing health services.

• Develop travel itineraries and provide clients with schedules, guidance, and information on procedures and entitlements.

• Maintain accurate records of travel benefits, usage, and costs, and assist in preparing reports.

• Support emergency or urgent travel situations under the direction of the Operations Manager.

• Draft correspondence, maintain files, and assist with administrative and logistical tasks for meetings or events.

• Ensure all interactions with clients are culturally safe and trauma-informed.

• Collaborate with Elders, Traditional Healers, and community resources to enhance holistic care.

• Communicate effectively with clients to confirm travel schedules and answer questions.

• Manage multiple requests and priorities while maintaining accuracy and timeliness.

• Perform other duties as assigned in a culturally safe, client-centered manner.

Education & Training:

• High School diploma or equivalent; Office Administration or Secretarial Certificate/Diploma is an asset.

• 1–3 years of administrative or office experience, preferably in health or community services.

• Experience in travel coordination or logistics is an asset.

• Knowledge of Indigenous health policies, First Nations Health Authority programs, or NIHB Medical Transportation policies is desirable.

• Familiarity with office software (Word, Excel, PowerPoint, email, EMR systems).

• Valid Class 5 B.C. driver’s license with willingness to assist with client transportation as required.

Preferred Experience & Knowledge:

• Understanding of medical travel processes, transportation, accommodation, and patient escort arrangements.

• Awareness of Indigenous cultural values, traditions, and protocols.

• Ability to manage multiple tasks, maintain confidentiality, and provide support to clients.
